01 / Introduction
Replenix AI Pty Ltd (“Replenix”, “we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and store personal information in connection with our website at replenix.ai (the “Website”), our inventory intelligence platform at app.replenix.ai (the “Platform”), and any related services (together, the “Services”).
We are bound by the Australian Privacy Principles (“APPs”) contained in the Privacy Act 1988 (Cth). By using the Services, you acknowledge that you have read and understood this Privacy Policy.
02 / What We Collect
Information you provide to us
When you create an account, submit a contact form, or use the inventory health check tool, we collect your name, email address, phone number, business name, job title, and any details included in your enquiry or submission.
Inventory health check. By submitting data through the free health check tool, you consent to Replenix retaining that data and using it — in anonymised and aggregated form — to improve our forecasting models and Services. This applies whether or not you proceed to a paid subscription.
When you use the Platform, you may upload business operational data including sales records, product catalogues, inventory levels, supplier information, pricing data, and store details.
Payment details are collected at subscription. Payment processing is handled by our third-party payment processor — we do not store full card numbers on our systems.
Information collected automatically
When you access the Services we may automatically collect your IP address, browser type and version, operating system, device identifiers, pages visited, timestamps, referring URLs, and general geographic location derived from your IP address, using cookies and similar technologies.
Information from third parties
We may receive information from point-of-sale systems or data integrations you authorise, publicly available business directories, and referral partners.
03 / How We Use It
- Providing the Services — operating the Platform, generating forecasts and recommendations, delivering health check results, and responding to enquiries.
- Account management — creating and managing your account, processing payments, and communicating subscription details.
- Improving the Services — analysing usage patterns, developing features, and improving model accuracy.
- Model training — we may use your business data to train and improve our machine learning forecasting models. Before doing so, your data is anonymised and aggregated so that your business cannot be identified. Your raw data is never shared with other customers or used in a form that could identify you to third parties.
- Communication — service notices, security alerts, billing information, and (where consented) marketing communications.
- Legal and compliance — complying with applicable laws, enforcing our Terms of Use, and protecting rights and safety.
- Security — detecting and responding to fraud, abuse, and security incidents.
04 / How We Share It
We do not sell your personal information.
Service providers — we use third-party providers including Google Cloud Platform (infrastructure), payment processors, email services, and analytics providers, all contractually bound to handle your data only on our behalf.
Anonymised data — we may share de-identified, aggregated data that cannot reasonably identify you or your business.
Legal requirements — we may disclose your information if required by law or to protect the rights, property, or safety of Replenix, our users, or the public.
Business transfers — if Replenix is involved in a merger or acquisition, your information may be transferred as part of that transaction. We will notify you via the Website or Platform.
05 / Data Storage & Security
Your data is stored on Google Cloud Platform servers located in Australia. We implement reasonable technical and organisational measures including TLS encryption in transit and at rest, role-based access controls, multi-tenant data isolation, and regular security reviews.
No transmission or storage method is completely secure. We cannot guarantee absolute security.
Retention — we retain personal information for as long as necessary to fulfil the purposes in this Policy. Upon account termination, we retain your data for 30 days to allow export requests, then delete or de-identify your identifiable data. Contact records may be retained for up to 3 years after your last interaction.
Retention after you leave — even after your account is closed or your subscription ends, we may retain anonymised and aggregated data derived from your business data indefinitely. This retained data cannot identify you or your business and is used solely to maintain and improve the accuracy of our forecasting models. No raw or identifiable data is kept beyond the 30-day window without your explicit consent.
06 / Your Rights
Under the Privacy Act and the APPs you have the right to:
- Access — request the personal information we hold about you. We will respond within 30 days.
- Correction — request correction of inaccurate, incomplete, or out-of-date information.
- Data export — Platform subscribers may request an export of their business data at any time by emailing contact@replenix.ai.
- Opt out of marketing — unsubscribe via the link in any marketing email, or contact us directly.
- Complaint — lodge a complaint with us; we will respond within 30 days. If unsatisfied, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au.

We use cookies and similar technologies for core functionality (authentication, session management), preference storage, analytics, and measuring communication effectiveness.
Strictly necessary cookies are required for the Services to function and cannot be disabled. Analytics cookies help us understand usage without identifying individual users. Preference cookies store your settings.
You can manage cookie preferences through your browser settings. Disabling certain cookies may affect functionality.
08 / Machine Learning
The Platform generates demand forecasts and inventory recommendations using ML models trained on historical sales, inventory, and contextual data such as seasonality patterns.
All recommendations are advisory. Replenishment decisions remain under your control — the Platform does not automatically place orders unless you have explicitly configured and authorised such behaviour.
Individual business data is not shared with other customers or used in a way that could identify your business to third parties.
09 / Changes
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice on the Website or Platform. Your continued use of the Services after the effective date constitutes acceptance of the revised Policy.
